Returns & Refund Policy – Aroma Ninjas

At Aroma Ninjas, we strive to supply high-quality fragrance oils and supplies for candle makers and home fragrance creators. Due to the nature of fragrance oils and customised products, the following returns and refund policy applies.

Fragrance Oil Returns

Fragrance oils are non-returnable unless they are confirmed to be faulty, damaged, or incorrectly supplied.

Due to the nature of fragrance oils:

  • Scent perception is subjective and varies between individuals

  • Fragrance performance may vary depending on wax type, recipe, usage levels, and curing time

For this reason, we cannot accept returns based on scent preference, personal dislike of a fragrance, or performance differences in individual formulations.

We strongly recommend purchasing our 10g sample sizes before committing to larger quantities.

Opened fragrance oils cannot be returned due to hygiene and contamination risks.

Returns

Our returns policy lasts 14 days from the date your order is delivered. If more than 14 days have passed since delivery, we unfortunately cannot offer a refund or exchange.

To be eligible for a return, the item must be:

  • Unused and unopened

  • In the same condition in which it was received

  • In the original packaging

  • Free from contamination or tampering

We reserve the right to refuse returns that do not meet these conditions.

Customers are responsible for all return shipping costs, and original shipping charges are non-refundable.

Damaged, Faulty, or Incorrect Items

If your order arrives damaged, faulty, or incorrect, please contact us within 48 hours of delivery.

Please include:

  • Your order number

  • A description of the issue

  • Clear photographs of the product and packaging

We will review the information and advise on the next steps. Approved claims may be eligible for replacement or refund at our discretion.

Refunds

Once your return has been received and inspected, we will notify you by email that we have received the returned item.

We will also inform you whether your refund has been approved or rejected.

If approved, your refund will be processed and a credit will automatically be applied to your original method of payment within 5 working days.

Return Shipping

Customers are responsible for all return shipping costs.

Shipping costs are non-refundable.

If a refund is issued, return shipping costs may be deducted from the refund amount.

Depending on your location, the time it takes for exchanged products to reach you may vary.

For returns valued at over £50, we strongly recommend using a trackable shipping service or purchasing shipping insurance, as we cannot guarantee that we will receive your returned item.

Product performance may vary depending on formulation, ingredients, and manufacturing processes used by the customer.

We cannot guarantee fragrance performance in every wax type, base formula, or production method, and results may vary.
